Volunteer & Events Coordinator

Chorus Austin seeks a highly organized and community-focused Event and Volunteer Coordinator to support our vibrant choral organization. This role is essential for mobilizing our volunteer base and ensuring the successful execution of our events, working closely with the Executive Director, staff, and volunteers.

Key Responsibilities

The Event and Volunteer Coordinator's duties include, but are not limited to, the following:

  • Volunteer Recruitment and Management: Identify, recruit, and onboard potential volunteers from the Chorus Austin community and beyond. Maintain an updated volunteer roster and communicate regularly with volunteers regarding opportunities and assignments.

  • Event Coordination: Serve as the primary contact and project manager for all front-of-house activities at concerts and other special events. This includes training and managing volunteers, coordinating with venue staff, and overseeing ticketing and seating.

  • Gala Project Management: Act as the primary project manager for the annual fundraising gala. This involves working closely with the Executive Director and other gala team members to create and manage a project timeline, track workstreams, and ensure all tasks are completed on schedule.

  • Community Engagement: Cultivate a strong and positive relationship with the volunteer community through consistent communication and recognition.

Special Projects: Collaborate with the Executive Director on other projects and duties as assigned.


Professional Experience

  • Experience in volunteer management, including recruitment, training, scheduling, and retention.

  • Proven ability to coordinate and manage events from start to finish, with a focus on front-of-house operations.

  • Experience in project management, particularly for large-scale events or fundraising initiatives like galas.

  • Familiarity with nonprofit organizations, particularly those in the arts or music sectors.

  • Experience with ticketing systems and venue coordination.


Skills and Abilities

  • Excellent organizational and time management skills, with the ability to manage multiple projects simultaneously.

  • Strong interpersonal and communication skills for building rapport with volunteers, staff, and community members.

  • Proficiency in using volunteer management or customer relationship management (CRM) software.

  • Ability to work independently and as part of a team.

  • A proactive and adaptable approach to work, with the flexibility to handle changing priorities.

  • Strong problem-solving skills and attention to detail.


Terms of Employment

  • Reporting Structure: This position reports to the Executive Director.

  • Compensation: This is a part-time position compensated at a flat rate of $12,000 per year paid monthly, based on an expected hourly rate of $28.

  • Work Cycle: Eight hours per week on average. Slightly heavier commitment from August - January, lighter from February - July.

  • Flexibility: Duties and priorities for this role may be adjusted based on organizational needs and management direction.

  • Location: This position requires employees to be based in Austin, TX and to be available to work in person for all Chorus Austin concerts and our annual gala.
